Quality & Materials Management Administrator

Job Summary

This hybrid role is designed to cover many important functions in a startup laboratory. This role will report to the general manager and cover front facing client services functions, handle sample management responsibilities like intake, storage, tracking and destruction (including being the METRC administrator) as well as serving, when needed, under the direction of the quality manager to assist in duties that support the entire Quality Management System (QMS)

Duties and Responsibilities

  • Acts as a Client Services representative
  • Ensuring that all client complaints or issues are resolved in a timely and professional manner
  • Under the direction of the General Manager, follows the sample intake work instruction to ensure samples are properly labeled and processed through LIMS and the State of Maine inventory tracking system (METRC). This includes validation samples as well as client samples
  • Coordinate with Transportation Agents to execute sample pickups
  • Receives and tracks all incoming material(s) for MCR Maine ensuring packing slips are uploaded to Prendio and packing slips agree with what was delivered and received
  • Review documentation of incoming quality control records (Certificates of Analysis (COA) or Certificate of Compliance (COC)) from MCR Maine’s vendors and file appropriately
  • Assist in the investigation of supplier escapes and client complaints
  • Ensures Certified Reference Materials (CRMs), reagents, standards, and critical analytical consumables are labeled with an internal tracking number for traceability within the analysis process
  • Control of non-conforming material and Equipment Out of Service
  • Assists in the tracking of instrument calibrations and ensure test equipment is maintained as required by the calibration schedule
  • Assists the QA Officer with document control processes
  • Maintain a positive attitude and a passion for excellence in customer service and for promoting the wellbeing of the company, its products, and the employees
  • Maintain a working knowledge of the consumable inventory on site through a Kanban system with tracking in Microsoft Excel.


  • Customer Service background
  • Self-motivated, very organized, and welcomes new and challenging experiences
  • Delivers clear and concise communication, both written and verbal, to vendors, management, other team members and end users
  • Ability to work with minimal supervision
  • Possess strong ability to perform detailed repetitive tasks with precision
  • Proficient computer and keyboarding skills: G-Suite, Microsoft Office (flowcharting, Excel, Word, PowerPoint)


  • Must have a BA/BS in science related field or an Associates w/minimum of 2 years lab experience
  • Must have valid ME driver’s license and clean driving record
  • Must be able to pass background check
  • Must be trained on all policies related to sample intakes, diversion, transportation
  • 1-3 years’ experience in quality assurance/control and or inventory management
  • Familiarity with ISO standards a plus
  • Knowledge of Lean Six Sigma methods a plus
